Weekly workload top-up (aka minimum agreed hours)

Record agreed hours per employee, per pay period. Monitor if their hours drop and automatically ‘top up’ their hours to meet the agreement.

Consider who will be impacted by these settings, ensure Earning Rule assigned correctly

Set up

  1. Login to Tātou Office app and navigate to People > Earning Rules

  1. Select the Earning Rule you want to edit or ‘+ NEW

  1. Click ‘EDIT’ and scroll to the ‘Weekly Overtime’ rules in the ‘Weekly Workload’ panel

Weekly min hours: Minimum agreed hours per week e.g. 30

Top-up type:

  • None: No automatic action taken

  • Agreed hours: Automatic calculation to ‘top up’ and pay entitled hours

  • Minimum earnings (NZ only): Automatic calculation to ‘top up’ and pay entitled earnings

Assessment period: The fixed calculation period for any averaging

Assessment start date is per employee in their Employment Period

Absence impact: Absence reasons that contribute to agreed hours or earnings will reduce top-up entitlements e.g. Opted out of available work

  1. Once happy with the settings click ‘SAVE

  1. Next, click through to the Employment Periods tab to check the employees

Use the table view to review and;

  • Add any relevant employee/s

  • Move any irrelevant employee/s out of the Earning Rule

  1. Finally, check your Reports > Custom Reports to apply overtime hours and costs to your custom reports including payroll.

How it works

Once applied, you can see agreed hours top-up data in the following sections and screens;

Pay Periods

The Overtime column displays any time tracked above the agreed hours, these can be paid or unpaid depending on your settings above. People > Pay Periods

Workload Dashboard

This dashboard allows you to filter across weeks and see the total hours worked per employee.

Each employee profile has a ‘Timesheets’ tab, here you can see Agreed hours topup hours and cost.

Reports

  • Timesheet by Employee report automatically shows the Overtime cost

  • Custom reports e.g. Payroll may need to be edited > Custom reports: Payroll
