Payroll with Employment Hero
In this article we show you how to use Employment Hero integration with Tātou.
If you are looking to setup the integration, please see Getting connected with Employment Hero
Employees
The employee integration is unidirectional, from Employment Hero to Tātou. You can create, update and delete* employees on Employment Hero and it should reflect on Tātou.
Deleting employees on Employment Hero will set them as inactive on Tātou
To be able to link the accounts, the integration uses the Employment Hero Employee ID as Tātou Staff ID. If you created the employee manually on Tātou, you can link them by setting the Staff ID manually, as image below:
Included fields
Status
First name
Last name
Nickname
Gender
Phone number
Birth date
E-mail
Job title
Start date
Passport Nationality: default to “Australia”
Address (address, city, region, country and postcode)
Emergency contact (name, relationship, phone number and address)
Pay Period (timesheets)
Before you start sending timesheets to Employment Hero, you need to make sure the Employment Hero account is setup to receive Tātou data. There are three main things you need to check in your EH account: Locations, Pay Categories and WorkTypes.
Setting up Employment Hero Locations
Tātou Costing Code → Employment Hero Location
As part of the setup to sync timesheets, you need to make sure that all Costing Codes on Tātou are correctly linked with Locations External Id on Employment Hero, as image below:
Setting up Employment Hero Pay Categories
To setup Pay Categories on Employment Hero, go to Payroll Settings → Pay Categories. Use the External Id to link Tātou with EH as example:
Description | Pay Category External Id | Pay Category Details |
---|---|---|
Top ups |
| Fixed units |
Contract (Piece rate) |
| Fixed units |
Paid rest break optional beta |
| Fixed units |
Performance optional beta |
| Hourly |
Performance bonus optional beta |
| Fixed units |
Beta features are available for early adopters and may change without notice
For each Pay Category, create a Work Type and map them together. This work type will be automatically selected when sending timesheets for these pay categories. See example:
Setting up Employment Hero Work Types (optional)
Tātou Task Code → Employment Hero Work Type External Id
If you need to automate Work Types on Employment Hero, you can set its External Id as Tātou’s Task Code as image below.
Please make sure the Work Type is available for your employees. You can check this on Employment Hero → Employee → Work Types.
If the Work Type is not available for the employee, it’ll fail to set automatically.
When creating Work Types for piece rate, remember to link with a Pay Category that accepts Fixed Units instead of Hours.
Sending to Payroll
To check and sync a pay period, go to Tātou → Reporting → Pay Periods and Send to Payroll
On Employment Hero you will receive timesheets pending to approval.
Selecting employees to send payroll data
During the sync process the integration will ignore employees who the Contract Type is “Contractor”.
Pay Earnings
When finishing a Pay Run on Employment Hero, it sends back to Tātou information about the pay earnings. You can check it by browsing the employees timesheets tab, as image below:
Employment Hero’s Earning Lines
are matched with Tātou’s Earning Types
using the table (following the presented order or priority):
